Inventory, purchasing and point of sale on one ledger, built in Lagos for African retail.

Stocked interface

Brief

Stock, purchasing, point of sale, bookings and reporting on one ledger, small enough for a single counter and built to hold a twenty-site group. Operations software fails at the seams: the till says one thing, the stockroom another, the spreadsheet a third. The hard parts are the ones that have to hold under bad conditions.

Decisions

02.01

One ledger, no second source of truth

Sales, receiving, counts, transfers and adjustments all write movements to the same ledger, so there is nothing to reconcile.

02.02

Offline-first at the register

Sales queue on the device and sync when the line returns. A shop mid-service cannot wait for a network.

02.03

Landed cost at receiving

Freight and duty are spread over the units that carried them, so margin reflects what goods cost to shelve.

Roles scoped to a location

A cashier, a manager and an owner see different things, each scoped to the sites they actually run.

Mutations are events, not updates

Every change records an actor, a reason and a time, so the audit trail reads back as a timeline.

A till that keeps trading

Registers sell through an outage with sales queued on the device, then sync in order, all drawing down one figure.

Partial receiving

One purchase order can be received across as many deliveries as it takes, with landed cost recalculated each time.

Bookings that reserve their kit

A job holds the stock it needs for its window, so equipment cannot be double-booked.

03.04

Dead stock, surfaced

Ageing and sell-through run off the ledger, so goods that haven't moved in months show up as money on a shelf.

Reports that send themselves

Margin, variance and ageing reports can be scheduled, so the operator reads the number without going to look.

Transfers with an in-transit state

Stock is accounted for from dispatch to sign-off, so units in a van are never available at either end.
